Privacy Policy
About this policy
This policy explains how Guides for Brides Limited uses personal information when you visit LondonWeddingWeek.co.uk, send an enquiry or subscribe to London Wedding Week news and event updates. The website provides information for wedding businesses and signposts visitors to separately organised events. Last updated: 25 October 2026.
Who is responsible for your information
Guides for Brides Limited is the data controller for this website. Company number: 03957394. Registered office: Larkhill Farm, Wantage, OX12 8PJ, United Kingdom. References to “we”, “us” and “our” mean Guides for Brides Limited. For privacy questions or to exercise your rights, contact Alison Hargreaves at alison@guidesforbrides.co.uk or write to the address above, marked for her attention.
Information we collect
When you use our enquiry form, we collect your name, business email address and message. Uploads are not accepted. Please include only information needed for your enquiry and do not send sensitive personal information, payment details or unnecessary information about other people. We also process correspondence you send directly to us.
When you subscribe to updates, we collect your email address, any name you provide and a record of your subscription choices, consent and unsubscribe request.
Our hosting and security services process technical information needed to deliver and protect the website, such as IP addresses, browser and device information, request times and security logs. If you accept analytics, Squarespace and Google Analytics also process information about visits, pages viewed, interactions, referral sources and browser or device identifiers. We do not deliberately send enquiry contents, names or email addresses to Google Analytics.
How and why we use information
Enquiries: we receive your message through Squarespace into our email inbox, respond where appropriate and forward an event enquiry to the UK-based organiser identified in the relevant listing. Our lawful basis is legitimate interests: helping business visitors obtain information about events they have chosen to enquire about and administering that correspondence. We consider the necessity of this processing and its effect on your rights.
Website operation and security: we rely on legitimate interests in providing a functioning, secure website, preventing misuse and investigating technical problems. Where processing is necessary to meet a specific legal obligation, we rely on that obligation.
News and event updates: we rely on your consent to send London Wedding Week news and event updates. Subscribing is optional and separate from making an enquiry. We do not automatically add you to any other mailing list or use enquiry details for marketing. You can withdraw consent using the unsubscribe option in each update or by emailing us. Withdrawal does not affect earlier lawful processing.
Optional analytics: we rely on consent to use non-essential cookies and associated personal information to understand website use and improve the site. We do not use automated decision-making or profiling that produces legal or similarly significant effects.
Who receives information
An enquiry about an event is forwarded only to the relevant organiser, rather than circulated to all organisers. Organisers receive the information needed to respond about that event and are expected to use it solely for that purpose. Where the organiser is a separate legal entity, it is responsible as an independent controller for its subsequent handling of your information under its own privacy notice.
Squarespace supplies website hosting and form services. We also use email and subscription delivery service providers and, with your consent, Google Analytics. These providers process information as needed to supply their services under applicable contractual arrangements. We may disclose information to professional advisers, regulators or authorities where necessary to comply with law or establish, exercise or defend legal claims. We do not sell personal information.
We encourage you to use the links in event listings to contact organisers directly. Their websites and booking services have their own privacy and cookie policies. Where Guides for Brides Limited itself organises an event, its event-specific privacy information governs bookings and event administration; this website policy does not replace it.
International processing
Although listed event organisers are based in the UK, technology providers such as Squarespace and Google may process information outside the UK. For restricted transfers, we must ensure an applicable UK adequacy regulation or appropriate safeguards, such as approved contractual clauses with the UK Addendum or the UK International Data Transfer Agreement, are in place, together with any required assessment or supplementary measures. Contact us for details of the safeguards applicable to your information or to request a copy, subject to appropriate redactions.
How long we keep information
Event enquiries: we delete enquiry records from our email inbox and Squarespace form storage within 30 days after the relevant event ends. If an enquiry remains unresolved, we keep the information needed to resolve it and delete it within 30 days after resolution. For general enquiries not connected to a particular event, we delete records within 30 days after resolution.
Where a legal obligation or an actual or reasonably anticipated dispute requires longer retention, we retain only the necessary information for the applicable obligation or claim and review whether it is still needed. An organiser’s copies are subject to its own retention arrangements.
Update subscriptions: we retain subscription details while you remain subscribed and the service continues. When you unsubscribe, we remove you from active distribution. We retain only the limited suppression record necessary to respect your choice and evidence of consent where needed to demonstrate compliance or address a claim. These records are not used to send updates.
Technical and security records are retained only for as long as reasonably necessary to operate and secure the website or investigate incidents. Analytics retention depends on the configured service settings; we retain identifiable analytics information only for as long as needed to assess and improve website performance. Cookie expiry is separate from server-side analytics retention.
Residual copies in restricted backups may remain until overwritten under the provider’s backup cycle. They are not used for ordinary business purposes; deletion instructions must be reapplied if a backup is restored.
Your choices and rights
Providing information is voluntary. Without sufficient contact details and message content, we may be unable to respond to or forward your enquiry. You can browse without subscribing or accepting optional analytics.
Depending on the circumstances and lawful basis, you can request access to your personal information, correction, erasure or restriction of processing. You may also have a right to receive information you supplied in a portable format where processing is automated and based on consent or contract. These rights are subject to legal conditions and exemptions.
Your right to object: you can object at any time, on grounds relating to your particular situation, to processing based on legitimate interests. We must stop unless we can demonstrate compelling legitimate grounds overriding your interests, rights and freedoms, or the processing is needed for legal claims. You have an absolute right to object to use for direct marketing.
Contact Alison using the details above. We normally respond within one month, subject to lawful extensions or pauses permitted by data protection law. We may need reasonable information to verify your identity. Requests are normally free.
You may complain to the Information Commissioner’s Office at https://ico.org.uk/make-a-complaint/ or on 0303 123 1113. We would welcome the opportunity to address your concern first, but you do not have to contact us before approaching the ICO.

Security and changes

We may update this policy when the website, our processing or legal requirements change. We will publish the revised policy with an updated date and provide additional notice where required.
